Assistant Office Manager – Midtown NYC (Hybrid)

SourcePro Search is seeking a detail-oriented Assistant Office Manager to provide high-level administrative support. This role reports directly to the Office Manager while collaborating with managing partners on administrative reporting. Enjoy a hybrid work environment, expected in-office 3 days a week. Salary up to $90K.

Key Responsibilities:

  • Assist with monthly billing, including posting client expenses in Timeslips and QuickBooks, and preparing client bills using LEDES1998.
  • Manage accounts payable, receivable, collections, bank deposits, and trust fund accounts.
  • Communicate with vendors about invoices and account status.
  • Process expense reimbursements and assist with HR and benefits administration.
  • Support onboarding, training, and development of new employees.
  • Handle file and document management using FileVine.

Ideal Candidate Will Bring:

  • 3-5 years of law firm administration experience.
  • Proficiency in QuickBooksMicrosoft OutlookWord, and Excel; familiarity with Timeslips and legal billing software is a plus.
  • Strong communication skills, discretion with confidential information, and meticulous attention to detail.
  • Highly organized, with the ability to multitask and work independently under pressure.
  • Experience in benefits or HR administration is advantageous.
