Executive Assistant - Real Estate Group

Location:

Secretarial & Support Services, New York Office

Salary:

$95,000 - $110,000; Non-Exempt

Hours:

Monday-Friday, rotating between 10:00 AM - 6:00 PM and 9:30 AM - 5:30 PM. The first 3 months will be in-person 5 days a week, then 4 days in the office, subject to change based on business needs.

What You'll Do:

  • Legal Support:
    • Support attorneys in all aspects from new matter opening to conclusion.
    • Assist with the preparation of court filings and real estate closing binders.
    • Edit and proofread pleadings, briefs, and transactional documents.
    • Prepare Table of Contents and Table of Authorities.
  • Client and Meeting Coordination:
    • Coordinate client meetings, teleconference, and video conference calls.
    • Maintain attorney calendars and contacts.
    • Coordinate attorney travel arrangements.
  • Administrative Tasks:
    • Run conflict checks and prepare new matter forms.
    • Draft general correspondence and prepare engagement letters.
    • Enter attorney daily time entries and process expense reimbursements.
    • Review and finalize client bills.

What You'll Bring:

  • Experience:
    • Minimum of 5-7 years of legal secretarial experience in a litigation firm, with commercial real estate experience a plus.
  • Skills:
    • Proficiency in Microsoft Office Suite: Word, Outlook, Excel, and PowerPoint.
    • Proficient in using Word styles, Kofax, Best Authority, and InTapp.
    • Knowledge of Westlaw/Lexis/Bloomberg Law is a plus (training will be provided).
    • Strong organizational and technical skills.
    • Excellent attention to detail.
    • Ability to professionally interact with attorneys and staff.
    • Ability to work independently and as part of a team.
    • Strong work ethic with a positive, solution-oriented attitude.
    • Ability to manage and prioritize competing assignments and meet deadlines.
    • Flexibility to adjust schedule and work overtime on short notice.
