Legal Secretary

Washington, DC

We are seeking a Legal Secretary for our Washington, DC office to perform legal secretarial duties. The schedule is 9:00 a.m. - 5:30 p.m., Monday-Friday, but flexibility is required. This position currently offers a hybrid work opportunity.

Salary: $70,000 to $75,000.

What You'll Do:

As our Legal Secretary, your essential job requirements will include:

  • Answering telephones for attorneys and others in the section in a professional manner; taking messages and forwarding calls.
  • Processing daily mail (open, date stamp, and route).
  • Maintaining calendars of all assigned attorneys and scheduling meetings.
  • Drafting/revising routine correspondence and documents.
  • Performing word processing on a variety of correspondence, reports, memoranda, and legal documents from handwritten notes, drafts, or oral instructions.
  • Operating office equipment such as printers, photocopying machines, and PDF scanners.
  • Scheduling meetings and notifying all parties involved; reminding participants of meetings.
  • Assisting with court filings and other department-specific tasks.
  • Entering important dates on the department calendar.
  • Reminding attorneys of deadlines for filings, Federal Express packages, etc.
  • Creating new client matter accounts (conflict checks, intakes, retainer letters, and file opening).
  • Maintaining contact lists for client matters.
  • Organizing and maintaining electronic and paper client files; retrieving existing files and closing out and sending files off-site.
  • Entering attorneys' time.
  • Assisting with monthly billing, including meeting Finance Department deadlines, photocopying, and final preparation for mailing.
  • Preparing travel arrangements for attorneys and clients, if needed.
  • Providing coverage to other attorneys when assigned secretaries are out of office or when workflow requires/permits.
  • Accepting and incorporating change into the daily work environment.
  • Clarifying tasks and confirming understanding.

What You'll Bring:

To excel in this role, you should have:

  • A minimum of 2-3 years of legal secretary experience; experience in a law firm preferred.
  • Accurate typing skills of a minimum of 55 wpm, along with strong word processing skills utilizing Microsoft Word 2010, Outlook 2010 (email and calendar), Excel, PowerPoint, docketing software, and client relationship management software.
  • Excellent verbal communication skills.
  • Well-developed and professional interpersonal skills; ability to interact effectively with people.
  • An orientation to client service and ability to work in a team environment.
  • Strong organizational skills and time management skills.
