Manage Calendar: Keep the attorney’s calendar organized, follow up on meetings, and confirm appointments throughout the day.
Phone & Communication Management: Handle incoming calls, screen calls, set up conference calls, and manage correspondence.
Document Preparation: Type, transcribe, and revise legal documents, including correspondence and basic legal forms.
Meeting Coordination: Participate in weekly meetings, manage the agenda, and record minutes.
Proofreading: Ensure all work is carefully proofread for content and context accuracy.
Email Monitoring: Monitor emails for both yourself and the attorneys you support, ensuring timely follow-up and communication.
Experience: A minimum of 2 years of legal and/or executive secretarial experience.
Language Proficiency: Must be proficient in English, with fluency in Spanish being a plus.
Technical Skills: Strong working knowledge of software applications for document management and communication.
Attention to Detail: Excellent organizational skills with the ability to multitask efficiently and manage time effectively.
Communication Skills: Outstanding written and verbal communication skills, able to interact professionally with clients, attorneys, and staff.
Education: High School Diploma or equivalent required.
Notary: A Notary Public certification is preferred, but not required.
$60,000 - $65,000 annually (commensurate with experience, qualifications, and location).
